Overview

Client File Directory Templates help you create a consistent folder structure for every new client. Think of it like using a master folder as a “blueprint.” Each time you create a new client directory, CX builds the same organized structure automatically.

This saves your team from manually creating folders again and again. It also helps prevent missed documents, confusion, or messy file storage.

How To

Follow these steps to set up and use Client File Directory Templates.

Part 1: Set Up the Root and Template Folder (Admin Only)

You must be a team admin to complete this section.

Step 1: Go to Advanced Settings

  1. Log into CX.

  2. Click Settings in the main menu.

  3. Click Advanced.

  4. Select Client Folders.

You should now see options for Root Folder and Template Folder.

Step 2: Set the Root Folder

The Root Folder is where all client directories will live.

  1. Click the Root Folder picker.

  2. Choose the main folder where you want all client folders stored.

  3. Click Save.

After saving, the system stores this location for future client directory creation.

You’re on the right track if the folder name appears in the field after saving.

Step 3 (Optional but Recommended): Set a Template Folder

The Template Folder is your “blueprint” folder.

  1. Click the Template Folder picker.

  2. Select the folder that contains your standard client structure.

  3. Click Save.

After saving, the selected folder name should appear in the Template field.

Tip: Before selecting a template, make sure it includes exactly the folders and files you want copied for every new client.

Part 2: Create a Client Directory

Once setup is complete, operations users can create client directories.

Step 1: Open the Client Overview

  1. Go to the Clients section.

  2. Open the client record.

  3. Go to the Files tab.

If no directory exists yet, you will see a Create Client Directory button.

Step 2: Click “Create Client Directory”

  1. Click Create Client Directory.

The system will now:

  • Create a new folder under your selected Root Folder.

  • Name it using the client’s name (special characters are removed automatically).

  • Create a locked Shared folder.

  • Inside Shared, create locked Notices and Attachments folders.

  • Copy your Template Folder structure (if one is set).

This may take a few seconds.

When finished, the system will open the new client directory automatically.

If the directory already exists, you will see Client Directory instead of the create button.

What You Should Expect to See

Inside the new client folder, you should see:

  • Shared

    • Notices

    • Attachments

  • All folders and files from your selected Template Folder (if configured)

If you do not see the template folders, double-check:

  • The Template Folder is set in Settings > Advanced > Client Folders

  • You have write access to both the template and the root folder

Important Things to Know

  • If the template copy fails, the client folder will still be created.

  • If a folder name already exists, CX automatically renames the new copy (for example, “Folder (2)”).

  • Updating your Template Folder does not update existing client directories. It only affects new ones.

Quick Troubleshooting Checklist

If the template structure does not appear:

  • Confirm Root Folder is set.

  • Confirm Template Folder is set and still exists.

  • Make sure you have write access to both folders.

  • Check for any error messages during creation.

  • Confirm the client now shows a directory in the Files tab.
