The Files tab in CX is your centralized hub for document management. Whether you're uploading plan documents, sharing files with clients, or managing internal folders for your team, the file system gives you a secure and flexible way to organize your book of business.
Where to Find It
To access the file system, simply click Files from the left-hand navigation bar.
You’ll land in your organization’s shared file system, which functions like Dropbox, SharePoint, or Google Drive - but is purpose-built for your TPA workflows.
Folder and File Basics
At the top of the page, you’ll see three primary actions:
New Folder – Create folders to organize files by client, project, year, or topic.
Upload – Drag-and-drop files into CX or upload them manually.
New File – Create Microsoft Word or Excel-style documents directly inside the platform.
Double-click any folder to open it and view all contents, including subfolders and files.
Controlling Access to Folders
Each folder supports flexible access control:
By default, folders are accessible to any CX user with permission to view the file system.
If you need to restrict access (e.g., to leadership-only or HR-specific files), open the folder’s Access tab and switch to Specific Users or Groups.
Add team members who should have access, and define their permissions.
You can also add collaborators who will be able to manage contents within that folder.
Public File Uploads
You can configure any folder to accept public uploads from external contacts, clients, or prospects.
When enabled:
CX generates a public, one-way upload link.
Anyone with the link can upload files, even without a CX account.
Uploaded files are private - the uploader cannot view other files in the folder.
This is especially useful for implementation document intake, annual collection forms, or collecting files through your website.
Comments and Activity Logs
Each folder includes:
A Comments panel where your internal team can leave notes or collaborate on documents.
An Activity Log that shows all file uploads, changes, deletions, permission updates, and comments to ensure accountability and traceability.
Client File Directories
Every client in CX has their own secure file directory. These folders are auto-created and include a shared location visible in the client portal.
To access:
Navigate to the Clients folder.
Click on the desired client.
Open the Shared folder to view files visible to both your internal team and the client.
These directories also include:
Notices – All plan-related notices sent through CX.
Attachments – Internal or general-purpose documents tied to the client.
Documents saved here are available both to your internal team and the client, enabling seamless two-way file exchange.
Automating File Storage
You can configure automations in project templates to save or organize files automatically.
Examples:
Uploading submitted forms or signed documents into client folders
Saving outputs from automation steps like Fill & Sign or questionnaire submissions
Organizing files by plan year or project type
This makes it easy to centralize and retrieve critical documents across your workflows.
Downloading and Managing Files
To download:
Use checkboxes to select multiple files, then click Download to export them as a ZIP.
For individual files, click the three-dot menu to download, rename, copy, or open in a new tab.
CX supports in-platform previews for:
PDFs
Word documents
Excel or CSV spreadsheets
Just double-click to view the file directly in your browser.
