Bulk Provisions Upload

The Bulk Provisions Upload feature helps you upload provisions files (typically from document providers like FTWilliam or ASC) and efficiently create new plans with provisions or update existing plan provisions in bulk.

Instead of manually entering provisions for each plan one at a time, you can upload a single file and let the system handle multiple plans at once. This feature provides a guided, step-by-step process that walks you through uploading your file, mapping the data columns, selecting which plans to update, and confirming the import before it happens.

This initial release provides the foundation interface for bulk provisions upload. You'll see the modal window (pop-up box) with a step indicator showing the three main steps: Upload File, Adding Provisions, and Confirm. The full functionality for file upload, column mapping, and plan import will be available in upcoming releases. This guide explains what you'll see now and what to expect as the feature is completed.

How To Use The Bulk Provisions Uploader

Step 1: Open the Bulk Provisions Upload Feature

  1. Navigate to the area in your Stax.ai dashboard where you manage plans or provisions

  2. Look for the button labeled "Import Bulk Provisions" in the More menu on the plans page.

  3. Click the button to open the Bulk Provisions Upload modal window (pop-up box)

  4. You'll see a step indicator at the top showing three steps: Upload File, Adding Provisions, and Confirm

  5. The first step (Upload File) will be highlighted or marked as active, showing you're ready to begin

Step 2: Upload Your Provisions File

  1. In the Upload File step, you'll see a dropdown menu to select your document provider

  2. Click the dropdown and select your document provider (FTWilliam or ASC)

  3. You'll see an area to upload your file - you can either:

    1. Drag and drop your provisions file into the upload area, or

    2. Click to browse and select your file from your computer

  4. The system will validate your file format and size

  5. Once your file is uploaded successfully, you'll see the file name displayed

  6. Click the Next button at the bottom of the modal to proceed to the next step

  7. If there's an error with your file, you'll see a message explaining what needs to be fixed

Step 3: Select Which Plans to Process

  1. After uploading your file, you'll move to the Adding Provisions step

  2. You'll see a message at the top: "Please select provisions that you want to override and create. New plans names will be generated with the company name and the plan type."

  3. You'll see a table showing all the plans from your uploaded file with the following columns:

    1. Checkboxes in the first column to select individual plans

    2. PLAN ID - The plan identifier from your file

    3. CLIENT NAME - The name of the client company

    4. STAX CLIENT NAME - Shows "Create new client" as clickable blue text if the client doesn't exist yet

    5. PLAN NAME - Shows "Create new plan" as clickable blue text if the plan doesn't exist yet

    6. NEW EFF DATE - The effective date from your file

    7. EFF DATE - The current effective date in the system (shows "-" for new plans)

    8. STATUS - Shows the status of each plan (like "New" for plans that will be created)

  4. The STATUS column shows what will happen to each plan:

    1. New - Plans that don't exist yet and will be created

    2. Edited - Existing plans that will have their provisions updated

    3. Amended - Existing plans that will receive provision amendments

    4. No Edit - Plans that exist but don't need changes

  5. Use the checkboxes in the first column to select which plans you want to process - you can select individual plans or use "Select All" to choose everything

  6. You can use the search box at the top (labeled "Q Search plans...") to filter and find specific plans if you have many to review

  7. If you want all new plans and clients to be created automatically when they don't exist, check the "Create New Plans and Clients if Missing" checkbox

  8. You'll see a count above the table showing how many plans are selected (e.g., "0 Plans Selected" or "32 Plans Selected")

  9. If you see "Create new client" or "Create new plan" in blue text, you can click on these to set up the client or plan name before importing

  10. Review your selections carefully - you can uncheck any plans you don't want to process

  11. Once you're satisfied with your selections, click the Next button at the bottom to proceed to confirmation

Step 4: Review and Confirm the Import

  1. In the Confirm step, you'll see a summary of what will happen when you import

  2. The summary shows:

    1. How many existing plans will be updated

    2. How many new plans will be created

    3. How many plans will receive amendments

  3. Review this information carefully to make sure it matches what you expect

  4. If something doesn't look right, you can click the Back button to return to the previous step and make changes

  5. When you're ready to proceed, click the Import button at the bottom of the modal

  6. Once the import is complete, you'll receive an email showing the results:

    1. How many plans were successfully created

    2. How many plans were successfully updated

    3. How many amendments were created

    4. Any errors or issues that occurred (if any)

  7. Click Close or the X button to exit the modal

  8. Your plans will now be updated in the system with the provisions from your file

Troubleshooting Tips

  1. The modal doesn't open: Make sure you're using a supported browser and that pop-up blockers aren't preventing the modal from appearing. Try refreshing the page if needed.

  2. Your file won't upload: Check that your file is in a supported format (CSV or XLSX). Make sure the file isn't too large and that it's not corrupted. Try opening the file in Excel or another program to verify it's valid.

  3. Plans show as "No Edit" when you expected changes: This means the system found the plans but the provision data in your file matches what's already in the system. If you want to update these plans anyway, you may need to check your file data or contact support for assistance.

  4. You see "Create new client" or "Create new plan" in blue text: These are clickable links that let you set up the client or plan name before importing. Click on them to enter the name, or check the "Create New Plans and Clients if Missing" option to have them created automatically with names generated from your file.

  5. Some plans show as "New" but you know they exist: The system matches plans using Plan ID. Make sure the Plan ID in your file exactly matches the Plan ID in the system. Check for extra spaces, different formatting, or typos.

  6. The import fails or shows errors: Review the error message - it will tell you which plans had issues and why. You can fix the issues in your file and try uploading again, or process the successful plans first and handle the errors separately.

  7. You don't see the feature: This feature may be available in specific areas of the platform. If you can't find it, check with your administrator or support team about access and availability.
