Let's say that your financial advisor has left their firm, and now you're tasked with reassigning their book of business, to the new advisor that started working with you. That's where CX People comes in. With CX People, you can quickly and easily inactivate, and reassign a contact's book of business to a new contact with only a few clicks.
Navigating to Reassignment
The first step in reassigning a contact's book of business, is to navigate to the CX People tab, and select the contact you wish to reassign.
Next, select the employer, companies, plans, or deals and use the bulk select checkbox on the left hand side to select the companies, plans, or deals you wish to reassign.
Remember, the Employer tab shows companies where this contact is marked as a regular contact - meaning they are likely a plan sponsor, or primary contact.
The Companies tab shows companies where this contact is marked as an external contact - meaning they are likely an advisor and can be granted collaborator access.
Once you have selected the companies, plans, or deals that you wish, click on the bulk actions menu and you'll view a few options.
Options Overview:
Bulk Invite to Client Portal: When selected, this option will send client portal invites to the contact for all selected companies. This will give the contact the option to login to the client portal.
Bulk Invite to Collaborate: When selected, this option will invite the contact to collaborate in CX. This only displays and will invite collaboration for companies/plans where the contact is an external contact.
Replace Contact: When selected, this option will open the following modal. This will give you the opportunity to move all associations from this contact, to another. On this modal you will have a few options:
The summary section will display the count of companies or plans you are looking to transfer association for.
Under Replacement Contact, you will be able to search for the name of the new contact that you wish to receive the transferred associations.
You will have the option to revoke client portal access from the original contact if selected.
The Companies to Update section will show all the specific areas to update and what the final result of the updates will be.
When ready, select Replace Contact and the associates will be transferred.
Please note, the new contact who has received the new associations, will need to be re-invited to collaborate or to access the client portal.
