Importing Vesting Basis

Plan takeovers can be complex and burdensome especially when chasing down vesting and participant information from prior TPAs and payroll providers. Uploading vesting basis information into Stax.Ai converts what used to be a tedious, error‑prone spreadsheet chore into streamlined workflow.

Vesting basis imports allows you to upload your census information, map vesting basis and entry date fields directly into Stax.Ai, and ensure vesting information calculates from that point in time.

Step 1: Select Your Census/Participant File

Log into Stax.AI CX and if a plan currently has participants, select the More menu dropdown and then select Import Census.

If a plan does not already have participants, select Payroll and then select Upload Reports. When the report is uploaded, in the top right corner select Import as Census File.

Step 2: Select and Map Columns

When viewing your uploaded file, select and map the corresponding columns for:

  • Vesting Date Basis

  • Vesting YOS Basis

  • Vesting Percentage Basis

  • Eligibility Date

  • Entry Date

Optionally if you choose to upload only 1 set of information for vesting and/or entry and want it to apply to all money types, select the non-money type options in the mapping dropdown.

Step 3: View the Imported Information on Participant Pages

Once your file has been uploaded, Stax.AI CX will automatically recalculate the census and you will see the vesting and entry dates reflected correctly per participant, per plan year on the right hand side Vesting card.

Additional Information:

  • For 2-6 year graded vesting schedules, Stax.AI CX requires a Vesting YOS basis to be provided, to ensure vesting can calculate correctly for the first 2 years.

  • If no vesting percentage basis is provided, Stax.AI CX will uses= the provided YOS basis.

  • If vesting percentage basis and/or YOS is provided, but no vested as of date is provided, Stax.Ai CX will default to using the selected plan year end (PYE) to calculate vesting.

  • When vesting basis is in effect, a warning will show to indicate.

  • When abnormal vesting percentages are entered, a warning will show to indicate this. (ex. 71% vested for a 1-5 year graded schedule)
