Reporting on Contacts and Companies

Overview

As a TPA, you often need one list of who is assigned to each client — trustees, accountants, financial advisors, client managers — so you can share it with your team, hand off accounts, or audit assignments.

Stax.ai CX doesn't have a separate "contacts report" button. Instead, you generate a company report (or plan report) and choose which roles to include as columns. The result is a spreadsheet with one row per company and a column for each role you picked, showing the contacts assigned.

Why this works well:

  • One list for handoffs and audits. Review assignments or prep client transitions without opening each record.

  • Only the roles you care about. Pick the contact types to include, so the report stays focused.

  • Reusable. Save the report as a template and reuse your filters next time.

Before you begin

  • Decide whether you want one row per company or per plan. The steps are the same idea in both areas.

  • If you only want certain clients (for example, active clients only), set up or note the filters you'll apply first.

Report contacts by company

  1. Click Companies in the left sidebar.

  2. Apply any filters to limit the list to the clients you want in the report.

  3. Click More in the toolbar, then click Generate Report.

  1. Choose Create new report, or pick a template you saved earlier.

  2. Choose your columns: a. Include the basics that identify each row, such as Name. b. In the column options, select the roles you want — for example, Primary Contact, Trustee, Client Manager, Financial Advisor. Each role becomes a column showing the contacts in that role.

  1. Click Create Report. The file generates and downloads.

  2. Open the file in Excel or Google Sheets. You'll see one row per company with the role columns you selected.

Report contacts by plan

Use the same steps from the Plans area when you want one row per plan instead of per company. Apply your plan filters, click More, then Generate Report, and pick your role columns.

Tips

  • Missing role columns? Go back into Generate Report and check the column picker. Role columns are optional — you must add each one you want.

  • Save it as a template. If you run this report regularly, save the setup so next time it's two clicks.

  • Pair with saved filters. A saved filter like "Active clients" plus a saved report template gives you a repeatable audit list.
