Building a Report with AI Reporting Agent

The AI Reporting Agent builds reports for you in Stax.ai CX. Instead of choosing a dataset and dragging each field into place, you describe the report you want in plain English and the agent assembles it.

Written by Andrew Flowers

It is built for anyone on your team who needs an answer out of CX but does not build reports often enough to remember where every field lives. You stay in control the whole time: the agent shows you what it plans to build before it builds anything, and you can still adjust the report by hand.

Key capabilities

  1. Build a report from a sentence. Type what you want, such as "clients with their plans and statuses." The agent picks the dataset, finds the fields, works out how the data connects, and shows you the result.

  2. Keep changing it in plain English. After the first build, ask for more. "Add EIN." "Include the client's state and employee count." "Group by plan status." Each change is applied to the report you are looking at

  3. Understand a report you did not build. Type /explain and the agent describes what the report shows, what each column means, and which filters are applied. This is useful when you inherit a report from a teammate

  4. Trim a report that has grown. Type /simplify for suggestions on what to cut, or /suggest for ideas on what to add.

How it fits into CX

The agent works alongside the report builder, not instead of it. Anything the agent does, you can change by hand: drag a field to a different shelf, remove a column, add a filter, or open Table options to set your date format. You can also start a report by hand and hand it to the agent to finish. Reports you build either way appear in Reports and can be added to a dashboard.

Building your first report with the agent

  1. In the left sidebar, click Home, then click Reports.

  2. Click New. An empty report opens.

  3. Click Use agent in the toolbar at the top right. The AI Reporting Agent panel opens on the right side of the screen.

  4. In the box at the bottom of the panel, type what you want the report to show, then press Enter.

    • Write it the way you would ask a colleague. "Clients with their plans and statuses" works well.

    • Name the fields you care about if you already know them. The more specific you are, the closer the first result will be.

    • You can click the microphone icon and dictate instead of typing.

  5. Wait while the agent works. The panel shows you each step as it goes, such as Reading the dataset and Looking for fields. The status at the top of the panel changes to Report ready when it is finished.

  6. Review what the agent proposes before anything is added to your report. The proposal shows:

    • A plain-language description of what the report will show.

    • Included datasets, with one marked Primary and any others marked Joined, so you can see what data is being combined.

    • Columns, listing each field and the dataset it comes from.

  7. Click Build this report. The columns land on the report and your data appears. The button changes to Report built.

Note: Nothing is added to your report until you click Build this report. If the proposal is not what you wanted, type a new request instead and the agent will try again.

  8. Keep refining the report by typing more requests, such as "can we add EIN to the list as well." Changes after the first build are applied right away, and the panel confirms with Applied to your report.

  9. Check the result on the report itself. The preview shows up to 500 rows.

  10. Click Save report when you are happy with it. Give the report a name if you want to change the one the agent suggested.

You're all set! Your report is saved and you can reopen it, export it, or add it to a dashboard at any time.

Important: Your report is not saved until you click Save report. The Unsaved changes badge next to the report name tells you there is work you have not saved yet.

Note: /clear clears the conversation only. Your report stays exactly as it is.

Changing your mind

There is no undo button for a change the agent makes. If a change is not what you wanted, you have three options:

  • Ask the agent to change it back. "Remove the EIN column" works the same as asking for it in the first place.

  • Fix it by hand. Click the small x on a field in the Columns, Values, or Filters area to remove it.

  • Leave without saving. If you have not clicked Save report, navigating away leaves the saved version untouched.

Tips for better results

  • Ask for one thing at a time. A short follow-up request is easier for the agent to get right than one long instruction with five changes in it.

  • Use your own words for your data. If you call them clients rather than companies, say clients. The agent maps your wording to the right fields.

  • Say what you want to count. If you want totals rather than a list of rows, say so. For example, "count the plans by status."

  • Always check the result. The agent is accurate most of the time, but it is worth a look before you send a report to a client. Every report page carries the same reminder: agent mode uses artificial intelligence and may make mistakes, so verify suggestions and output.
