Configure and use custom data fields to store firm-specific information on company records in CX.

Company Profiles and Custom Data Fields

Beyond the standard fields (name, EIN, address, phone, website), CX lets your team store firm-specific information directly on company records using custom data fields. This is useful for tracking operational details that are unique to your firm's workflows — things like first withholding dates, plan effective dates, service tiers, or internal classification codes that don't fit into the default fields.

Prerequisites

  • You need clients/w (write) permission to edit company profiles and data fields.

  • Custom data fields must be configured by an administrator before they appear on company records. If you need a new field type, contact your admin.

Understanding the Company Profile

The company profile is everything on the Overview tab of a company record. It contains two categories of information:

  • Standard fields — name, EIN, address, phone, website, business type, NAICS code, status, and tags. These are built into CX and available on every company.

  • Custom data fields — fields defined by your administrator that appear in the Data tab. These are unique to your firm and can be tailored to match your operational needs.

View and Edit Custom Data Fields

  1. Open a company record by clicking the company name in the Companies list.

  2. Click the Data tab at the top of the company record.

  3. You'll see all custom fields configured for your workspace. Click any field to enter or update its value.

  4. Changes save automatically.

Tip: Custom data fields are filterable in the Companies list and can be used in dashboard widgets and reports. Populating them consistently across your book of business makes operational reporting much more powerful.

Common Custom Data Field Examples

These are examples of custom fields that TPA firms commonly configure in CX:

  • First Withholding Date — the date the employer first began payroll withholdings for the plan

  • Plan Effective Date — when the retirement plan was originally established

  • Service Tier — internal classification of service level (Standard, Premium, Enterprise)

  • Prior TPA — the previous third-party administrator, useful during onboarding and data migration

  • Fiscal Year End — the company's fiscal year end date, which may differ from the plan year

Customize the Companies List View

Custom data fields can be added as columns on the Companies list to give your team at-a-glance visibility without opening each record:

  1. Navigate to Companies in the left sidebar.

  2. Click the three-dot icon at the top right of the table.

  3. Select which fields (standard and custom) you want displayed as columns.

  4. Drag columns to reorder them to match your team's preferred view.

Column customizations are saved per user, so each team member can configure their own preferred view without affecting others.

Using Custom Fields in Filters and Reports

Custom data fields are available as filter criteria throughout CX:

  • Companies list — filter by any custom field value to segment your book of business (e.g., show all companies where Service Tier = Premium)

  • Dashboards — use custom fields in widget configurations to build views scoped to specific client segments

  • Reports — include custom field values in exported reports for deeper analysis outside CX

For custom fields to be useful in reporting, they need to be populated consistently across your book of business. Consider adding data field completion to your client onboarding checklist so new companies are fully populated from the start.

Requesting New Custom Fields

If your team needs a new custom data field that doesn't exist yet, contact your CX administrator. Administrators can create new fields, set field types (text, date, dropdown, number), and control which fields are visible on the Data tab. New fields appear on all company records once created.

If you are an administrator, you can navigate to settings > fields, and select the record type you wish to add new fields for. There you can create and name new fields and select the type of data that can be populated into this field.
