Uploading and Managing Files

Every company in CX has a built-in file system where your team stores census files, adoption agreements, signed documents, plan amendments, and anything else related to the client relationship.

Files are organized into two areas: the root directory (internal, visible only to your team) and the shared directory (accessible to clients through the portal). Understanding how files work ensures that sensitive documents stay internal while clients can access what they need.

Before You Begin

  • Every company automatically gets both a root directory and a shared directory when the company record is created. You don't need to set these up manually.

  • File uploads are also supported at the task level — if you're uploading a file as part of completing a task, you can attach it directly to the task.

Navigate to a Company's Files

  1. Open a company record — for example, Greenfield Manufacturing.

  2. Click the Files tab at the top quick actions menu.

✓ You should see two top-level directories: your internal file directory and the shared (portal-accessible) directory.

Upload Files

  1. Navigate into the directory where you want to store the file.

  2. Click + Upload or drag and drop files directly into the file browser.

  3. Select one or more files from your computer. CX accepts all common file types including PDF, Excel, Word, CSV, and image formats.

⚠️ Warning: Files uploaded to the shared directory are visible to any portal user with access to this company. Double-check that you're uploading to the correct directory before placing sensitive internal documents.

Organize with Folders

  1. Click + New Folder to create a subdirectory.

  2. Name the folder descriptively — for example, 2026 Plan Year or Census Files.

  3. Drag files into folders to organize them, or use the move action from a file's three-dot menu.

💡 Tip: Build a consistent folder structure across all your companies. Many TPAs create top-level folders for each plan year, with subfolders for Census, Filings, Correspondence, and Signed Documents. Consistency makes it easy for any team member to find what they need.

Use the Global Files View

  1. Click Files in the left sidebar (not from within a company record) to see a cross-company file view.

  2. Use this view to search for files by name across your entire book of business, or to browse recently uploaded files.

What Success Looks Like

Your company file directories are organized with a clear folder structure. Internal documents live in the root directory where only your team can see them. Client-facing documents are in the shared directory where portal users can access them. You can upload, move, and find files quickly across your book of business.
