What CX Does and Who It's For

If you’re a Third-Party Administrator managing retirement plans, Stax.ai was built specifically for the way you work. The Client Experience platform — CX — is a single workspace where your team manages companies, plans, participants, census data, payroll connections, compliance tasks, and client communications. Instead of toggling between spreadsheets, email, file shares, and portals, CX brings all of it into one place.

This Getting Started collection walks you through everything you need to know to start working in CX, from your first login through launching your first project. Each article builds on the one before it, so we recommend reading them in order.

What CX Does

CX is organized around a few core concepts that map directly to how TPAs operate day-to-day:

  • Companies are your clients — each company record holds contact information, plan associations, payroll connections, notes, and a health score that tracks your relationship over time.

  • Plans are child records of companies. Each plan contains its provisions, participants, plan years, and census data. Whether you’re administering a single 401(k) or a pooled employer plan with dozens of adopting employers, the data structure supports it.

  • Projects and Tasks are how work gets done. A project groups related tasks into a workflow — like collecting year-end census data, onboarding a new client, or filing a 5500. Tasks can be assigned to your team (internal) or to your clients (client tasks visible in the portal).

  • The Client Portal gives plan sponsors and HR contacts a secure, branded space to upload documents, complete questionnaires, sign forms, and view plan information — without needing a full platform login.

  • Payroll Connections sync directly with providers like ADP, Paychex, and Gusto through payroll integration, pulling compensation data into CX automatically so your team doesn’t chase spreadsheets.

  • Files and Documents are organized per company with both a root directory (internal) and a shared directory (portal-accessible). Templates, adoption agreements, and signed documents all live here.

  • Email is integrated directly into CX. Connect your work email and conversations are automatically linked to the right company based on domain matching. Send emails, use templates, and track communication history without leaving the platform.

  • Automations trigger actions based on events — when a task is completed, CX can send an email, invite a client to the portal, launch a follow-up project, or transmit data to an integration partner. Templates encode these automations so every client gets the same consistent workflow.

Who CX Is Built For

CX serves the full TPA team, with role-based permissions that control what each person can see and do:

  • Plan Consultants and Account Managers manage client relationships, run projects, and communicate with plan sponsors.

  • Processors and Compliance Specialists execute tasks within projects — reviewing census data, running calculations, preparing filings.

  • Administrators configure team settings, manage users and permissions, set up templates, and oversee the firm’s book of business.

  • Plan Sponsors and HR Contacts interact through the Client Portal — uploading payroll files, completing census questionnaires, and reviewing plan documents.

What Success Looks Like

By the time you finish this Getting Started series, you’ll be able to log in securely, navigate the dashboard, understand how companies and plans are organized, create and manage projects, connect email, invite clients to the portal, and upload files. You’ll have a working foundation to handle your daily operations in CX.
