What is Files?

Files is the document home base in Stax.ai CX. It's where your team stores, organizes, and shares every client document — census files, plan documents, notices, signed agreements — all in one place. The layout works like the file explorers you already know (Windows Explorer or macOS Finder), so there's no new system to learn. Everything your team needs lives alongside your clients, projects, and communication.

Key capabilities

  • One place for every document. Stop hunting across email attachments, shared drives, and desktops. Your team and your clients work from the same organized folders.

  • Built-in collaboration. Leave comments on folders and files, and check the activity log to see what changed and who changed it — no status-check emails needed.

  • Form fill and signing for PDFs. Upload a PDF and CX automatically detects its form fields. Add fields and send the document to your contacts for signing, right from Files.

  • Controlled external sharing. Share files with secure links, or open a public upload folder so outside contacts can send you documents without needing a login.

How it fits into CX

Files connects to the rest of your CX workflow:

  • Clients — each client can have its own directory, built automatically from a template. See [Template Client File Directories].

  • Client Portal — shared folders make documents visible to your clients, so deliverables land where clients expect them.

  • Automations — the Save a Project File automation moves project documents into the right folder for you. See [Save to Project File Automation].

  • Projects — documents collected during projects can flow straight into your file structure.

A quick look

Open Files from the left-hand menu. You'll see your folder structure on the main screen. Double-click any folder to open it and view its subfolders, files, and details. The menu on the right holds your folder and file actions — create, rename, upload — and the upload button sits in the top right.

Basic function walkthrough: upload a file

  1. Click Files in the left-hand menu. The main file browser opens.

  2. Double-click the folder where the file belongs. The folder opens and shows its contents.

  3. Drag and drop your file into the folder window, or click the upload button in the top right and choose your file.

  4. Confirm the file appears in the folder list. You're done — the file is now available to your team.

Tip: Uploading a PDF? Select it after upload to use form fill and signing. CX detects the input fields automatically, and you can send it to contacts for signature.
