Goal

Spend less time on client email without losing quality. In this workflow, you use two AI helpers built into the Stax.ai CX Inbox: smart email generation to write and polish outgoing messages, and AI task suggestions to turn incoming requests into tracked work. Together, they cut the two biggest email time sinks — writing from a blank page and copying requests into your task list.

Prerequisites

  • Your email is connected in CX. If not, start with Centralizing Client Email in CX.

  • Client threads are linked to client records, so tasks you create keep their client context (see Linking Emails to Client Interactions).

Step-by-step workflow

1. Draft an outgoing email with AI

  1. Click Inbox in the left navigation, then click Compose.

  2. Enter at least one recipient in To and add a Subject. This context makes the draft more useful.

  3. Click the prompt field — "Need help writing? What would you like to say in this message?" — type what the email should communicate, and press Enter. CX generates the draft in the editor.

2. Refine the draft

  1. Use the one-click options above the editor: Refine tone, Elaborate, or Shorten. You can apply them more than once.

  2. Make your personal edits, and always give the draft a final read before sending.

  3. Click Send, or use the clock icon to Schedule Email for later.

3. Turn incoming requests into tasks

  1. Open a client email in Inbox. CX reads its context and generates Suggested Tasks automatically.

  2. Review each suggestion. Click the ones you want — each click creates a task linked to the email and client. Ignore the rest; nothing is added unless you click it.

  3. Open the new task to assign an owner, set a due date, and track it like any other task.

4. Catch what you missed each morning

  1. Go to the Dashboard section. Your Daily Briefing opens by default.

  2. Review the Emails Summary and Suggested Tasks widgets to pick up anything you didn't handle yesterday.

Expected outcome

  • Routine client emails take a prompt and a review instead of ten minutes of writing.

  • Your team's email voice stays consistent and professional.

  • Client requests become tracked tasks with their email and client context attached, so follow-ups stop slipping through the cracks.

Tips

Tip: The better your prompt, the better the draft. Mention the client, the request, and the outcome you want.

Tip: For emails you send over and over, a saved template can beat a fresh AI draft. Use the Load Email Template option in Compose — or automate the send entirely (see Automating Task Assignment and Reminders).

Tip: Keep threads linked to clients. Suggested tasks work best when the client context travels with the work.
