Smart email generation is a writing assistant built into the Stax.ai CX Inbox. Instead of starting every email from scratch, you tell CX what you want to say and it drafts the message for you. One-click options let you adjust tone and length, so you can send polished, consistent client email in less time.

When to use it

  • You know what you need to say but do not want to write it from a blank page.

  • You have a rough draft and want it to sound more polished, longer, or shorter.

  • You want consistent, professional wording across your team's client email.

Generate an email with AI

  1. Click Inbox in the left navigation, then click Compose. The editor opens with fields for To, Cc/Bcc, Subject, and the message body.

  2. Enter at least one recipient in To and add a Subject. This gives CX context about who you are writing to, which makes the draft more useful.

  3. Click the prompt field that says "Need help writing? What would you like to say in this message?"

  4. Type what you want the email to communicate, then press Enter. CX generates the draft directly in the message editor.

  5. Review the draft. Make any personal edits, and confirm the recipients and subject are correct.

  6. Click Send — or schedule it for later (see below).

Refinement options explained

If you already have draft text, use the one-click options above the editor. The message updates right in place:

  • Refine tone — polishes the wording and makes the tone more professional.

  • Elaborate — expands the draft with more detail in each section.

  • Shorten — trims the draft so it is concise and to the point.

Tip: You can apply these more than once. Generate a draft, elaborate on it, then shorten the result until it fits the recipient.

Other compose tools

  • Attach files (paperclip icon) — attach items to your email. If the contact has client portal access, the file is shared through secure file exchange.

  • Load Email Template (box icon) — pick and load a template from your template library.

  • Schedule Email (clock icon) — pick a future time to send. Scheduled messages wait in your Outbox.

Troubleshooting

  • The draft misses the point. Add more detail to your prompt — mention the client, the request, and the outcome you want — then generate again.

  • The tone is not right. Click Refine tone, or edit the draft by hand. Always give AI drafts a final read before sending.

  • A scheduled email did not send. Check the message status in Outbox and confirm your mailbox is still connected. See Email Sending Setup and Configuration.
