Connecting your Google Workspace (Gmail) mailbox brings your email into the Stax.ai CX Inbox. Your Gmail account stays the source of truth. CX adds the workflow layer on top — viewing, organizing, and acting on email next to your clients, tasks, and projects.

The connection uses Google sign-in (OAuth). CX never sees or stores your Google password, and you can revoke access at any time from your Google account.

Prerequisites

  • Access to the Google Workspace account you want to connect.

  • If your firm uses Google Admin controls, your IT admin may need to allow Stax.ai CX as a connected app.

  • If you are signed in to more than one Google account in your browser, know which one you want to connect.

Connect your Gmail account

  1. Open the Inbox from the left navigation.

  2. Click the Gmail option on the connection screen. The Google sign-in page opens.

  3. Select the correct Google account. If you have multiple accounts, choose carefully — the connection is account-specific.

  4. Review the permissions and click Allow. You return to CX and see the message "Your Google account has been connected! Emails will start to sync soon."

  5. Wait for the initial sync to finish. Your status shows Syncing while CX pulls in your recent history.

What CX syncs

  • Message threads: senders, recipients, subject, body, timestamps, and read state.

  • Attachment details, so you can see what files came with each message.

  • CX workflow data you add on top, like tags, bookmarks, and scheduled sends.

Sync timing

  • The initial sync starts with your newest messages and works backward.

  • CX typically syncs up to 6 months of history or up to 10,000 messages per folder or label, whichever comes first.

  • After the first sync, new messages sync continuously. Use Re-Sync Messages to force an immediate refresh.

Connection statuses

  • Connected — everything is working.

  • Syncing — CX is pulling in messages. Give it a few minutes.

  • Disconnected — access was revoked or the token expired. Click Reconnect to sign in again.

You're all set! Your Gmail conversations will start appearing in the CX Inbox and on the matching company records.

Tips

Tip: Wrong account connected? Sign out of your extra Google sessions in the browser, then reconnect and pick the correct mailbox.

Tip: Missing messages? Allow time for the backfill to finish, then run Re-Sync Messages.
