Projects keep client work organized in Stax.ai CX. Each project ties a piece of work — like a Form 5500 filing — to a company and plan, then tracks it through tasks. This guide shows you how to create a project, add tasks to it, and monitor its progress.

Prerequisites

  • Your companies (and plans, if needed) are already set up in CX.

  • You know who on your team will own the project's tasks.

Create a new project

  1. Click To Do in the side menu. The Projects view opens.

  2. Click the New button on the right-hand side.

  3. Enter a project name, such as "File Form 5500 for Clients," and press Enter.

  4. Select a Company from your list of configured companies.

  5. Select a Plan if the work is tied to a specific plan.

  6. Add a short description so teammates know the goal at a glance.

The project is created and appears in your project list.

Required fields explained

  • Project Name — What the work is. Keep it short and specific.

  • Company — The client this project belongs to. This links the project to that client's record.

  • Plan — Optional. Use it when the work applies to one plan, not the whole company.

  • Description — Optional but recommended. A sentence or two of context helps teammates pick up the work.

Add tasks to the project

  1. Open the project and go to the Tasks section.

  2. Create a task with a name, responsible person, due date, priority, and status.

  3. Repeat for each step in the workflow.

  4. Optional: attach an Automation to a task — for example, to send an email or generate a report automatically.

Monitor progress

  1. Check the project summary to see overall task progress and status.

  2. Open the Activity Log to see who changed what, and when. This is useful for auditing and handoffs.

You're all set! Your project is live, and your team can start working the tasks.

Tip: Use the filters at the top of the Projects view — Status, Client, Due Dates, and more — to keep large workloads manageable.
