SLA Tracking and Performance Reporting

Goal

Prove — to clients, auditors, and yourself — that work gets done on time. In this workflow, you set up milestone tracking so key dates are captured automatically, monitor performance on a live dashboard, and export clean reports each cycle. You'll also learn how Stax.ai measures its own platform SLA (service level agreement) adherence, so you know what to expect from CX itself.

Prerequisites

  • Projects and tasks running in CX with owners and due dates.

  • Write access to dashboards for the monitoring step (Settings > Users & Groups).

  • A short list of the milestones that define "on time" for your firm — for example, census received, review complete, final approval.

Step-by-step workflow

1. Set up milestone tracking

Milestone workflows capture key dates automatically as tasks are completed, and write them to the client, plan, or plan year record.

  1. Go to To Do > Milestones and select New Workflow from the workflow name dropdown.

  2. Name the workflow and select the resource type to report on — clients, plans, or plan years. This becomes the rows of your report.

  3. Add your milestone fields and label them in your team's process language.

  4. Select Create Workflow.

  5. On each task that should feed the report, select the workflow and the milestone it tracks to.

Important: Only date fields can be used for tracking workflow steps.

2. Build a live performance dashboard

  1. Create a dashboard for performance monitoring (see Creating Your First Dashboard).

  2. Add widgets that show workload and throughput — projects by status, projects by project lead, tasks blocked by clients, and client task activity. The built-in Operations Overview dashboard is a good model.

  3. Check it on a regular rhythm — weekly for management review, daily during busy seasons.

3. Export performance reports each cycle

  1. Go to the list you report from — for example, Plans or your projects in To Do.

  2. Apply filters so the list shows only the records in scope.

  3. Click More, then Generate Report. Pick your columns, including your milestone date fields, and generate the Excel file.

4. Know how CX measures its own SLA

Your service performance depends on the platform being available too. CX tracks its own SLA adherence using heartbeat metrics — high-volume signals like messages delivered, task updates saved, and automation runs completing. Tips

Tip: Track a handful of milestones that map to your service commitments — received, reviewed, approved. More fields means more noise, not more insight.

Tip: Name saved reports for what they answer, like "Census Turnaround — 2026 Plan Year." Your whole team can see saved reports, so clear names prevent duplicates.

Tip: Dashboards answer "how are we doing right now?" Exports answer "how did we do this cycle?" Use both.
