Provisions are the rules of a retirement plan — who can join, when they enter, how contributions work, and how vesting is earned. When you load a plan's provisions into Stax.ai CX, the platform does the math for you: it calculates each participant's eligibility, entry date, and plan compensation, and flags anything that looks off. That means fewer manual calculations and fewer errors during census review.
When to use this
Set up provisions when you:
Onboard a new plan into CX
Amend a plan's provisions and need calculations to reflect the change
Notice eligibility or compensation numbers that don't look right and want CX to recalculate
Load a plan's provisions
Open the plan record (from the company's Plans card, or by searching in Plan Admin).
Find the Provisions panel on the right-hand side of the page.
Choose how to add provisions:
Upload Provisions File — upload the provisions file from FTWilliam.com or ASC. CX reads it and adds the provisions automatically.
Upload the adoption agreement — CX analyzes the document and extracts the provisions.
Copy Existing Plan Provisions — copy provisions from another plan of the same type.
Add Provisions Manually — enter provisions yourself.
Review the imported provisions. Check eligibility exclusions, age requirements, service requirements, and vesting schedules.
CX currently supports importing ASC, FTWilliam.com, and Relius plan provisions.

Star the provisions you check most
A full provisions list is long, and most teams find themselves opening the same handful of rules over and over. Starring pulls those to the top so nobody has to hunt.
In Plans > Provisions, find the provision you want. You can star a whole section, a subsection, or a single card.
Click the star on the right. A grey outlined star means it isn't starred; a filled star means it is. Click again to unstar.
As soon as anything is starred, a Starred section appears at the top of the provisions list.
What shows up in the Starred section depends on what you starred:
A whole section brings all of its subsections, cards and items with it.
A subsection or a card is listed under a heading in the form Section > Subsection, so you can tell where it came from.
Starred provisions stay in their normal place in the list as well — nothing is moved or hidden.
Important: Starring is team-wide. When you star a provision, everyone on your team sees it starred. That makes it a good way to standardize what your team checks first on every plan — but it also means an unstar affects everyone, so agree on the list rather than treating it as a personal bookmark.
Tip: CX also remembers which sections you left expanded or collapsed, so the view looks the way you left it when you come back or move to another plan. That part is remembered per browser, so a different computer starts fresh.
What CX calculates for you
Once provisions are in place, CX applies them to every participant in the plan:
Eligibility — CX checks each participant's age and service against the plan's requirements, and flags participants who don't meet them (for example, a minimum age requirement).
Entry dates — calculated as the first of the calendar month coincident with or following eligibility.
Plan compensation — based on the participant's time in the plan. Plan compensation can differ from gross compensation when a participant enters mid-year, and CX accounts for that timing automatically.
Vesting — vesting and vesting schedules are mapped from the provisions automatically.
Fix data and recalculate
Eligibility results are only as good as the participant data behind them. Here's how to correct a record and refresh the math:
Open the plan and select the plan year you're working on.
Click a participant to view their details — gross compensation, date of birth, hire date, and more.
Look for flags CX has raised, such as an eligibility issue caused by a suspicious birth date.
Correct the field (for example, fix a birth date typo). CX recalculates the participant's eligibility and entry dates, and enrolls them in the plan options they now qualify for.
If you change the plan's provisions themselves — or make broader data corrections — recalculate the whole census:
From the participants list, click More in the top right corner.
Select Recalculate Census. CX re-runs eligibility, entry date, and compensation calculations for the plan year.
Tip: Recalculate after any provision amendment so participant data stays in step with the plan document.
Troubleshooting
A participant's eligibility looks wrong. Check their birth date, hire date, and hours of service first. Bad input data is the most common cause. Fix the data and CX recalculates.
Plan compensation doesn't match gross compensation. That's often correct. Plan compensation counts only the time after the participant entered the plan.
Provisions changed but numbers didn't. Run More > Recalculate Census to apply the updated provisions.
A provision I starred is starred for someone else too. That's expected — starred provisions are shared across your whole team.
Your document provider isn't listed. CX supports ASC, FTWilliam.com, Datair, and Relius today, with more planned. You can still add provisions manually, or contact support at [email protected].
