A plan record in Stax.ai CX represents one retirement plan you administer — for example, a 401(k) or profit sharing plan. It holds everything CX knows about that plan: provisions (eligibility rules, contribution formulas, vesting schedules), participants, plan years, census data, and plan assets. If your firm manages hundreds of plans, plan records keep each one's data organized and up to date in one place.
Key capabilities
One record per plan, always up to date. Each plan record tracks the plan's type, plan year end, status, and participant count. Census data and payroll connections feed the record automatically, so you spend less time re-keying data.
A bird's-eye view of your whole book. The Plan Admin page shows every plan and where it stands in the annual administration cycle — from Not Started through 5500 Filed. You can spot stalled plans and bottlenecks at a glance instead of opening projects one by one.
Provisions drive the math. When you load a plan's provisions, CX calculates participant eligibility, entry dates, and plan compensation for you, and flags issues it finds.
History by plan year. Each plan keeps data by plan year, so you can look back at prior years' participants, statuses, and contributions.
How plans fit into CX
Plans sit in the middle of how CX organizes your work:
Companies are the parent record. Every plan belongs to exactly one company (the plan sponsor). A company can have more than one plan.
Participants belong to a plan. Census data, payroll data, and eligibility results all live at the participant level within a plan year.
Projects and tasks (like census collection or annual filings) link to the company and plan they relate to. As work is completed, the plan's Admin Status updates automatically.
Tip: If your firm administers MEPs or PEPs (Multiple Employer Plans or Pooled Employer Plans), a plan structure field lets you model the primary plan with joinder companies underneath. Contact your account manager if you don't see this option.
A quick look
There are two main places you'll work with plans.
The plan record. Open a company, then click a plan in the Plans card to see the full plan record. Tabs across the top include Overview, People, Data, To-do, Plan Years, Assets, and Comments. The Provisions panel sits on the right side of the page. A 5500 tab supports government filings for teams in the pilot release — contact your account manager to learn more.
The Plan Admin page. Click Plan Admin in the left sidebar to see every plan in one table. A summary bar at the top groups plans by Admin Status for the year you select. Each row shows the plan sponsor, plan code, plan status, plan type, plan year end, tags, notes, Admin Status, and census errors. Use it to decide where to act — the detailed work still happens inside projects and tasks.
Find a plan and open its record
Click Companies in the left sidebar. Your list of companies opens.
Click the company you want. The company record opens.
Find the Plans card in the top left corner. It lists every retirement plan linked to this company.
Click a plan name. The plan record opens, showing the plan's overview, tabs, and provisions.
Note: You can also search for a plan directly from the search bar on the Plan Admin page. This is handy when a client calls and you need answers fast.
