You work one plan and one plan year at a time. You add the record keeper's report, confirm which rows belong to which participants, and review any differences. When the numbers look right, you confirm and lock the year. The locked figures can then fill in the plan's Form 5500, so you don't have to key them by hand.
Key capabilities
Bring in record keeper reports. Upload the record keeper's transaction file instead of retyping figures into a spreadsheet. See Record Keeper Report Guide for Asset Reconciliation for the current list.
See exactly where the numbers disagree. Compare the record keeper and the census by money type on the Plan tab, and by participant on the Accounts tab. For example, you can spot that one participant's employer match is $250 short.
Keep an audit trail. When you correct a figure, you must give a reason. The reason stays with the reconciliation.
Pick cash or accrual. Switch between Cash and Accrual for each plan. Firm admins can set accrual rules once for the whole firm.
Lock the year and reuse the figures. Confirm and lock the plan year, export a workbook, and fill the Form 5500 from the locked figures.
How it fits into CX
Retirement menu. Reconciliation has its own page under Retirement. It lists every plan with a plan year in the year you pick.
Plans. Each plan's Assets tab has an Asset Reconciliation button that opens that plan's reconciliation.
Census and Payroll. The reconciliation reads the client's census in CX. It does not change the census. When the census is wrong, you fix it in the census itself.
Government Filings. After you lock a year, the plan's Form 5500 filing can fill empty boxes from the reconciled figures. Government Filings is available to pilot teams. If you'd like access, contact your account manager.
Projects. Your firm can add a Reconcile Assets task to a project template. The task links straight to the plan's reconciliation for that plan year.
Trust Accounting as a source is coming soon.
A quick look
The Reconciliation page is your queue. The status cards across the top show how many plans are in each stage. Click a card to show only those plans. Click any plan to open its reconciliation.
When you open a plan, you see its reconciliation workspace:
The top row shows the plan, client, record keeper, plan year end, and where the census comes from. On the right you choose Accrual or Cash and click Confirm Reconciliation when you're ready.
Three totals cards show Total Assets, Total Contributions, and Total Withdrawals / Expenses for the plan year.
Four tabs hold the work:
Schedules lists each asset schedule (a record keeper report you added). The Form 5500 filing card also sits here.
Plan compares the record keeper and the census by money type, such as deferrals or employer match.
Accounts compares them participant by participant.
Trust Report shows the year's changes in net assets, from the opening balance to the closing balance.
Basic function walkthrough: open a plan's reconciliation
Click Reconciliation under Retirement in the side menu. The queue opens on last year's plan year.
To work on a different year, click the plan year next to the page title and pick the year you need.
Click the plan you want to work on. The plan's reconciliation opens on the Schedules tab.
If the plan has no reconciliation for that year yet, CX starts one for you and shows "Reconciliation started for PY 2025" (with your year). Starting a reconciliation is safe. Nothing is written to the census or the Form 5500 until you confirm and lock it.
Tip: To return to the queue, click ← All plans next to the plan year, or press Esc.
