Creating and Managing Deals

Overview

This article covers the day-to-day mechanics of Deals in Stax.ai CX: creating deals, moving them through stages, closing them, and configuring your funnels and stages. If you're new to Deals, start with Deals CRM Overview.

Before you begin

  • Open Deals from the left sidebar. CX includes a default funnel with stages already set up.

  • If reporting views are turned on for your team, Deals splits into Funnels, Performance and Forecast. Everything in this article happens on Funnels — the board itself is unchanged. See Deals Performance and Forecasting for the other two.

  • To launch a project when a deal closes, have a project template ready (for example, a new-client onboarding template).

Create a new deal

  1. Click Deals in the left sidebar.

  2. Click New in the top right. The New Deal form opens.

  3. Fill in the fields:

  4. Company — search for an existing company, or type a new name to create one.

  5. Plan — optionally link the deal to one of the company's plans.

  6. Deal Name — CX suggests one based on the company name. Edit it if you like.

  7. Value (ACV) — the deal's annual revenue.

  8. Deal Owner — the teammate responsible for the deal.

  9. Funnel and Stage / Outcome — where the deal starts. New deals default to the first stage.

  10. Referral Source — where the deal came from. Pick one or type a new source.

  11. Click Save. The deal card appears in its stage column.

Move deals through stages

  1. Drag a deal card and drop it in another stage column. The deal updates right away.

  2. To close a deal, drag its card onto the Won or Lost target that appears while you drag.

Note: Deals have four statuses: Open, Won, Lost, and Abandoned. Use the filter bar to show or hide each status. Deleting a funnel abandons its deals.

Close a deal automatically. Dragging isn't the only way. The Advance Deal Stage automation can be configured to set a deal to Won or Lost, and it fires the same triggers as closing by hand — so a Launch on Win template still runs. This is useful when the thing that really decides the outcome happens elsewhere in your workflow, like a signed agreement coming back.

Filter and find deals

  1. Use the filter bar at the top of the board. Owner and Status filters are available by default.

  2. Watch the two values on the right of the filter bar: the weighted pipeline value (based on each stage's win probability) and, when it differs, the total pipeline value.

Edit funnel settings

  1. Click More next to the New button and select Edit Funnel.

  2. Update the fields:

  3. Funnel Name

  4. Default Deal Value — the value new deals start with.

  5. Launch on Win — a project template to launch when a deal is won, such as new-client onboarding.

  6. Launch on Loss — a project template to launch when a deal is lost, such as a nurture campaign.

  7. Click Save.

Edit stages

  1. Click More and select Edit Stages.

  2. For each stage, set:

  3. Stage Name

  4. Stage Owner — the teammate who owns deals in this stage (for example, a BDR early on and a relationship manager later).

  5. Days to Rot — how many days a deal can sit in the stage before it's flagged as stale.

  6. Win Probability — the percent chance a deal in this stage closes. This powers the weighted pipeline value.

  7. Project Template — optionally launch a template when a deal enters the stage.

  8. Drag stages to reorder them, or click Delete stage to remove one.

Manage funnels

  • Create a funnel: click the funnel name at the top of the page and choose New Funnel.

  • Duplicate a funnel: click More and select Duplicate Funnel. You get a copy with the same stages.

  • Delete a funnel: click More and select Delete Funnel.

Important: Deleting a funnel permanently removes it and abandons all of its deals. This can't be undone.

Best practices

  • Keep stage names action-based ("Proposal Sent," not "Middle") so anyone can read the board.

  • Review Days to Rot flags weekly to catch stalled deals early.

  • Set Win Probability honestly per stage — your forecast is only as good as your percentages, and it feeds the Forecast view as well as the weighted pipeline number on the board.

  • Use Launch on Win so onboarding starts the moment you close. No handoff emails needed.
