Setting Up Client Reminders

Stop writing "just checking in" emails. In this workflow, you configure CX to follow up with clients automatically when action is still need

Overview

Automatic client reminders send follow-up emails to your clients when they have overdue tasks. Reminders send from your team's connected mailbox, so clients receive email from a real person at your firm — not a system address. You control how often reminders go out, who sends them, and who receives them. This is for any team that wants to stop manually chasing clients on overdue work.

  • Clients respond faster. Emails come branded from your email address, so they land in the inbox (not spam) and replies come straight back to you.

  • Set it once, forget it. Once configured, Stax.ai checks for overdue tasks and sends reminders on your schedule automatically.

  • You stay in control. Choose the sender role, the recipient contact roles, the cadence, and how long an overdue task keeps getting reminders.

  • Everything is logged. Every reminder send is recorded, so you always know what went to which client and when.

How To

  1. Go to Settings → Reminders.

  2. Turn on automatic reminders for overdue tasks.

  3. Set your cadence:
    a. Days between sends — how many days Stax.ai waits before reminding the same client again.
    b. Send until — how many days past due a task keeps receiving reminders before Stax.ai stops.

  4. Choose the send-from role — the team role whose mailbox the reminder is sent from (for example, the client's assigned administrator).

    • Note: Set a fallback sender too. If no one in the chosen role is assigned to a client, the fallback is used instead so reminders never silently skip.

  5. Choose the send-to roles — which client contact roles receive the reminder (for example, Sponsor).

Important: Clients are only reminded if they have a contact in a selected role with a valid email address. If a client has no contact in that role, no reminder is sent for them.

Once complete, Save your setting by selecting the Save button at the top of the page.

You're all set! Stax.ai will now send reminders to clients with overdue tasks on the schedule you chose. Each reminder type (tasks, invites, payroll) keeps its own schedule, so one type never delays another.
