Exporting Payroll Data

You can export a plan sponsor's payroll data from Stax.ai CX as an Excel file, filtered to the pay period or check dates you choose.

Overview

You can export a plan sponsor's payroll data from Stax.ai CX as an Excel file, filtered to the pay period or check dates you choose. The export includes several summary and detail tabs — pay statements, payroll by period, payroll by employee, and mapped payroll data. Use it to reconcile payroll and contribution totals, validate data during onboarding or troubleshooting, or share a detailed extract when a sponsor or provider asks for one.

Export payroll data for a date range

  1. Navigate to the plan or client you want to work with, and open the plan sponsor's record. Confirm you're in the correct sponsor before proceeding.

  2. Click the Payroll Connection card. Alternatively, go to the Payrolls page and select the sponsor there.

  3. Click into the payroll connection you want to export from, and confirm the correct provider is shown and payroll activity is visible.

  4. Click the More menu within the payroll connection.

  5. Select Export Payroll Data. The date selection dialog appears.

  6. Enter the pay period start and end dates, and/or the check dates you want included. Match the dates to your reconciliation basis — pay period dates or check dates.

Important: Mixing date types can make totals differ from your internal reports. Pick one basis and stick with it.

  1. Confirm the export request and wait for the file to generate.

  2. Download the Excel file and open it. The export opens with multiple worksheets.

What's in the export

  • Pay Statements — row-level payroll detail: check date, pay period start and end (MM/DD/YYYY), payroll type, SSN, name, division code, title, hours worked, gross pay, and net pay. Dynamic columns cover Earnings, Taxes, Employee Contributions, and Employer Contributions, each with a Total column per row. Dynamic columns vary based on the payroll data in your selected date range.

  • Payroll by Period — payroll grouped by check date (or pay period end if no check date), split by payroll type when several exist on the same date. Includes number of employees, hours worked, gross pay, net pay, and dynamic totals.

  • Payroll by Employee — one row per employee, with hours, gross pay, net pay, and the dynamic earnings, tax, and contribution totals summed across all payrolls in the range.

  • Employee Mapped Payrolls — employee demographics (SSN, date of birth, hire/termination/rehire dates, contact details) plus mapped compensation fields (such as statutory compensation) and mapped contribution fields (pre-tax deferral, Roth/post-tax deferral, employer match, safe harbor match where configured). Fields like Location or Country may be blank if not assigned.

Use the export

  1. Compare Payroll by Period totals to your internal payroll or funding reports.

  2. Use Pay Statements to pinpoint specific employees or payroll types if you find a discrepancy.

  3. Save the file in your firm's secure storage location, and share it only through approved secure methods.

Important: The export contains sensitive data, including SSNs. Follow your firm's data security and privacy policies when storing or sharing it.
